Correction to a bill

When issuing a bill, we can never be certain that it has been issued correctly or that changes will not be required. If this happens, the only solution is to issue a correction to the bill.
When should a correction to a bill be issued?
A corrective bill is issued when:

  • the seller's or purchaser's details are incorrect
  • the bill number or dates are incorrect
  • the payment deadline or payment method has been entered incorrectly
  • the quantity or price of the goods or services sold has changed
Remember that the correction must be provided to the contractor and entered in the accounting records.

How to issue a corrective bill

When issuing bills using the online billing software, creating a correction is straightforward. All bills are visible in the list of bills. This is also where the following functions and features are available:
- information about the document number and contractor
- printing and sending by email
- payment marking, reminder sending and status
- document operations, such as issuing a similar bill or creating a correction
Clicking the C icon in the document operations column opens the corrective bill form. All data from the bill will automatically be retrieved from the original document. The seller's and purchaser's details, the correction number, the number of the bill being corrected and all required dates will be displayed. The system will also retrieve the table entitled "Before correction", containing the product/service name, quantity and price.
Since a bill does not show VAT, net price or gross price, this information is also absent from the correction.

The following information must be included on a corrective bill:
- seller and purchaser details
- the correction document number and the number of the bill being corrected
- the correction dates and bill dates
- tables showing the values before and after correction
- the payment or refund deadline and method
An important part of the correction is a description of its reason.
Depending on the reason for issuing the correction, correct the data as follows.
If the reason is an incorrect bill number, bank account number, date, seller or purchaser details, payment deadline or payment method, delete the incorrect data and enter the correct data.
If the error is in the table, use the letter C to place the incorrect item in the "After correction" table and enter the correct values.
Remember that even if the error concerns something other than the product name or price, you must still create the "After correction" table by clicking C in every row of the "Before correction" table without making any changes.

Corrective bill PDF template

A corrective bill is just as important a document as a bill or invoice. It must be entered in the accounting records and provided to the contractor for the same purpose.
A corrective bill can be printed and signed. In the afaktury.pl invoicing software, it is printed by first creating a PDF. To do this, click Create PDF in the menu while creating a correction or click Print in the list of corrective bills.
A window containing the Create PDF button will open. Before clicking it, select the options that should appear in the PDF. The available options include:
- display signatures on the printout
- QR code and payment QR code
- payment deadline and the date in the payment deadline
- document status and product status field
- sales procedure and GTU fields
- quantity summary and amount in words
- display currency values
- display information about active VAT and EU VAT taxpayer status

You can also change the document language in the same selection window.
After selecting all the required options, click Create PDF. The actual corrective bill PDF will open and can be printed using the PDF menu.

How to send a corrective bill by email

The corrective bill software allows you to send the document by email immediately after saving it. This feature speeds up delivery of the correction to the customer and accounting department. With no sending limit, one document can be sent multiple times to different recipients. The sending process is very simple and quick.
Use the Send button in the document list or Send document in the correction editing menu. Regardless of where you start, a window will open with a field for the recipient's email address. After confirming with the Send button, the corrective bill will be delivered to the specified address.
Note the options that can be selected and included in the document being sent.
There are approximately 20 options, including displaying signature fields, a QR code and payment QR code, the payment deadline, the date in the payment deadline, a quantity summary, the amount in words and currency options.
The selection also applies to the document type. You can choose whether the corrective bill is sent in two copies, as an original, copy or duplicate.

Benefits of online invoicing software with correction functionality

Online software for creating corrections to bills, invoices and pro forma invoices simplifies the generation of documents that may otherwise seem difficult. With afaktury.pl, creating a correction to a bill is quick and convenient. Any document can be saved and converted into another type. For example, a correction to a saved bill can be created with a single click. Once saved, the document is stored in the corrections list, where it can be viewed, edited, printed, sent or included in the corrective bill register at any time. Since the software is online, it can be accessed from any device—a desktop computer, laptop or phone—by signing in to an individual account. The online invoice and bill software is responsive, so the size of the device does not matter. Every invoice, corrective bill or other document template is literally within reach.
In addition to easy access, the correction software offers extensive functionality: you can select your preferred PDF template, save your own details and contractor details, and store goods and services together with their prices and available quantities.
